Partner Support Space Relationship Policy

Who is responsible for practitioners who join the GROW Partner Support Space through a Partner, and how GROW communicates with them.

GROW Partners refer practitioners to GROW and give them access to the GROW Partner Support Space. This policy explains who is responsible for those members, and how GROW communicates with them.

It mirrors the Licensed Provider Learner Relationship Policy, adapted for Partners whose members are not enrolled on a GROW programme through the Partner.

Scope

This policy applies to:

  • GROW Partners, including membership bodies, associations and insurers
  • Practitioners who join the GROW Partner Support Space through a Partner
  • GROW staff, contractors and associates

Ownership of the member relationship

The Partner owns and manages its relationship with its own members, including membership, renewals, member communications and member complaints about the Partner's own services.

GROW is responsible for the Support Space itself: access, content, facilitation, moderation and the conduct of GROW staff within it.

Support Space members are not learners on a GROW programme unless they separately enrol on one. Where a member does enrol, the Learner Charter and the learner policies apply to that enrolment.

Communications with members

GROW may communicate directly with Support Space members where necessary to run the space, including:

  • Access and login information
  • Password resets and technical support
  • Session invitations, reminders and changes
  • Moderation and conduct matters
  • Notices about changes to the space

GROW will not market its own programmes, memberships or services to a Partner's members outside what the Partner has agreed, and members will not be added to marketing lists without their consent. Members may opt in independently at any time.

Member data

The Partner remains responsible for its own membership records. GROW processes member information only as needed to provide access to the Support Space and related support, in accordance with the Data Protection Policy and the Partner Agreement.

GROW will not share member contact information with Licensed Providers, Accredited Coaches, other Partners or third parties for marketing purposes.

Conduct, concerns and complaints

Behaviour in the Support Space is covered by the Learner Charter's conduct expectations, the Equality, Diversity and Inclusion Policy and the Safeguarding Policy.

A member may raise a concern about the Support Space directly with GROW at support@growformula.org under the Complaints Policy. Concerns about the Partner's own membership services are for the Partner to handle.

GROW may restrict or withdraw a member's access where conduct in the space warrants it, and will tell the Partner where it does so.

Ending the arrangement

If the Partner Agreement ends, GROW will agree a reasonable wind-down period for existing members with the Partner, and will tell affected members what happens to their access.
